Step 1: Welcome & Billing Setup

Before we dive into creative work, we’ll kick things off with a warm welcome and get billing squared away. This ensures a smooth start and clear expectations on both sides.

  • Send welcome email with onboarding checklist and service summary
  • Schedule a 30–45 min onboarding video call
  • Set up recurring monthly invoice for $2,299
  • Provide ACH/direct deposit instructions or check mailing info

Step 2: Onboarding Video Call

Next, we’ll hop on a quick video call to get to know your team, tools, and typical needs. This helps us tailor everything to your ministry’s structure, audience, and weekly rhythm.

  • Discuss weekly communication rhythm (email, Trello, Slack, etc.)
  • Identify primary contact person and backup
  • Review common project types (sermon art, promos, announcements)
  • Collect display screen dimensions (stage, foyer, livestream)
  • Confirm print specs (posters, flyers, banners)
  • Review social media platforms and how they’re used
  • Request all branding assets (logos, fonts, style guide)
  • Access info + needs for website (platform, current issues)

Step 3: Folder & Workflow Setup

Once we understand how you work, we’ll build a streamlined workflow and shared folder system to keep everything organized and easy to access—no more chasing files or requests.

  • Create shared folder (Google Drive or Dropbox)
  • Set up project request workflow (form, Trello board, or email)
  • Organize project pipeline based on urgency and frequency

Step 4: First Deliverables

By the end of week one, you’ll see your first custom deliverables! We aim for quick wins so you get immediate value and confidence that your creative needs are covered.

  • Start on 1–2 top-priority design or video requests
  • Quick wins: sermon artwork, social media post, updated flyer, etc.

Step 5: Ongoing Rhythm

From here on, you’ll enjoy a steady creative rhythm tailored to your schedule—backed by monthly planning, weekly check-ins, and unlimited design and video support.

  • Optional weekly check-in via email or Slack
  • Monthly planning or review call (15–30 mins)
  • Recurring monthly billing continues automatically
  • Ongoing creative support based on ministry priorities
